Administrative Assistant Job Description
The Administrative Assistant will need to provide support to all departments and partners on a daily basis.
This employee will perform clerical functions, prepare reports, provide light technical support, handle information requests, maintain schedules and have the ability to multi-task. The Administrative Assistant will report directly to the Executive Vice President of Cash Management. The job duties include, but are not limited to:
- Answer Phones
- Process incoming and outgoing mail
- Manage Check Log-log all checks by name, date, and property
- Maintain Company Calendar
- Manage all office and maintenance supplies for Corporate Office
- Advertising- submits all job requests to Craigslist, prepare v flyer ads
- Save all Audit Reports from Regional Managers to the M drive
- Approve property orders done through paper tiger
- Verify all information is correct log in excel M:AdminDocsPapertiger.xlsx
- Prepare Flag orders for all properties- annually
- Separate Check registers to property accounting files
- Daily Deposits- PRIMARY
- Each Monday verify each Property has uploaded their Deposits to Reqlogics
- Email any property that is missing their weekly deposits
- Review Each Deposit for Accuracy
- Discrepancies will be returned to manage for explanation
- Send all NSF reports to locations via email, save in bank stmt folder for reconciliation
- Separate Late2Lien Invoices and send to properties for payment
- Manage FedChex inquiries
- Make travel arrangements for executives, regionals and partners as requested
- Send out new computers upon request
- Prepare inter co transfer sheets for computer purchases
- Update the Truck Status Report Monthly
- Assist Executives/Partners as needed on special projects
