About the role

As Administrator, Payroll and Benefits, you serve a dual role working with both the Finance and People departments. As an integral part of the People team, you administer, maintain, and communicate benefit programs, policies, and procedures and provide support to the Director, Total Compensation and People Operations, entering new hires, data, and other HCM entries. The ideal candidate for this role will be a self-starter who can easily adapt to different systems, think on your feet, and show initiative. This job will require you to field inquiries at all levels from employees up to senior management, so excellent communication and interpersonal skills are essential.

What you will do

1) Payroll Administration

  • As the payroll expert, make recommendations for payroll related policies. Provide training as needed to ensure compliance and full utilization of tools.
  • Responsible for timely, accurately, and compliantly processing Energy Vault's bi-weekly payroll. Audit and process payroll documents. Process employee data for new hires, changes, additional earnings, etc.
  • Process employee Time & Attendance data to payroll and reconcile variances. Approve and release time in the system as required.
  • Prepare and maintain employee files, assuring accuracy, compliance, and confidentiality.
  • Maintain vacation and sick time records.
  • Develop in-depth understanding of payroll software (ADP) and HRIS (Workday). Create reports on demand.
  • Assist employees in registering for or resetting access to online portals.
  • Maintain vendor contact for payroll and other People pay-related activities.

2) Benefits Administration

  • Administer all employee benefit programs such as medical, dental, vision, disability, and retirement programs. Process workers compensation and disability claims.
  • Responsible for:

o Employee On-boarding: Provide in-depth benefit presentation for all new hires during the

onboarding process. Distribute enrollment materials and determines eligibility.

o Employee Service: Assist employees regarding benefits claim issues and plan changes. Respond to benefits inquiries on plan provisions, benefits enrollments, and status changes. Enroll employees with carriers and process life status changes.

o Vendor Management: Work with the Director, Total Compensation and People Operations for escalated support needs, including but not limited to plan design, claims administration, and appeals, COBRA, retirement administration, and HRIS data integrity.

o Employee Education: Prepare and set up meetings designed to help employees obtain information and understand company benefits. Ensure that employee forms and resources are properly updated.

o Wellness: Responsible for development and execution of Employee Wellness Program. Establish initiatives and programs that help employees attain optimal health. Organize wellness events and provides resources for employees.

o Data Integrity: Ensure the accuracy of all benefit enrollments and provide vendors with accurate eligibility information. Update HRIS database with new and changing information; ensure accuracy and integrity of information. Responsible for employee benefit file maintenance and storage retention requirements.

o Employee Leaves: Effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities. Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA. Make recommendations to employee leave policies.

o Employee Termination: Properly record, track and administer the steps needed to comply with COBRA law and appropriately deliver continuation of employee benefits.

  • Complete annual reporting for employee benefits: ACA, 1099, 401K, Workers Comp, Unemployment, etc.
  • Coordinate meetings for Benefits and 401K Plans. Records and distributes minutes.
  • Complete and submit unemployment requests from state departments.
  • Develop in-depth understanding of HRIS and all vendor enrollment systems and websites. Create reports on request.

What a qualified candidate should possess

  • 2+ years (5+ preferred) Benefits and/or Payroll experience in a high volume fast-paced setting.
  • Good understanding of benefit processes, People data, People systems, and their interdependencies.
  • Excellent skills with problem-solving, organization, follow through, and attention to detail.
  • Collaboration skills for our team environment; a track record of maintaining positive relations with internal and external contacts.
  • Integrity, trustworthiness, and sound judgment, with proven ability to practice discretion in handling highly confidential information.
  • Ability to communicate (written & verbal) effectively and establish working relationships with team members at all levels.
  • An orientation towards customer service.
  • Prowess prioritizing workload in a busy environment and meeting deadlines.
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and savviness with systems in general to quickly understand software applications.
  • Bachelor's degree in Human Resources, Accounting, Administration, or related field preferred; or equivalent work experience.
  • A passion for carbon neutrality by 2050 preferred.

Pay: $65,000.00 - $135,000.00 per year
